Position Title: Temp/Contractor- Hourly

External Description:

Basic Purpose:  

This position will act as a Project Manager to review Talbots current policies and procedures function and make recommendations for improvement.  Position will review how they are developed, maintained, revised and how/where they are published.  Position will determine best practices and will review and analyze the current documents and processes and determine best way to manage the function going forward.  Involves reviewing documents, partnering with subject matter experts, analyzing processes and recommending changes/solutions to streamline the process and create efficiencies.  Position will recommend best way to maintaining important information in an easy to retrieve and read structure.

 

Principal Accountabilities:  

  • Review how Talbots develops, publishes, maintains, and distributes Corporate, Stores and Canadian policies and procedures for the company, its different divisions and locations. 
  • Facilitate discussions and meetings with Talbots partners to ensure understanding/impact of the overall function and specifically policies and procedures. 
  • Review current policies and procedures manuals.  Consult and work with Talbots subject matter experts, HRBPs, Legal and external resources to determine/recommend which policies and procedures are required, can be separated, can be eliminated, can be streamlined.  Recommend how/where to publish same and in which format, e.g. handbook, policy manual, procedures manual, etc. 
  • Determine best process for managing policies and procedures.  Process to be clear, concise, and logically organized.  Determine best format and best process to follow to assure accuracy and controls are maintained.  Determine process to follow for content development, approval, turnaround, publication and distribution of new and revised policies and procedures. 
  • Streamline current process; create efficiencies, recommend FTE needed to manage process going forward.
  • Use previous HR knowledge and research to highlight issues/challenges and provide recommended solutions.   
  • Research operational methods and practices as well as Human Resources guidelines/requirements to ensure we have a good process in place.
  • Consider compliance risks.
  • Evaluate current system, system enhancements and provide recommendation going forward.
  • Ensure business procedures and processes are consistent and supportive of company standards. Ensure processes are effective in order for departments to achieve operating efficiencies and maintain adequate controls. 
  • Recommend best way to develop, publish and distribute policies and procedures.

Education/Experience/Knowledge:

  • Bachelor’s degree
  • Knowledge/experience with HR policy and procedures; might involve working with policies and procedures, managing the function for another company, writing policies, etc.
  • 5-7+ years previous HR experience
  • Strong writing skills
  • Strong project management skills
  • Exposure to systems that support policies and procedures writing/publishing.
  • Proficient in Microsoft Word and Excel
  • Excellent organizational skills 
  • Self-motivated
  • Exceptional verbal and written communication skills
  • Must have the ability to work independently and as part of a team and deal effectively with all levels of management.
