Position Title: Supv Office Services

External Description:

Basic Purpose:

Responsible for supervising overall office support activities including the reception area, mail, procurement of services and supplies, and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Arranges for internal office moves and provides support services for office meetings. Provides support for other functional departments including procuring sales incentives and meeting services (i.e. food, room set up, etc.). Embraces and lives the Talbots culture as defined in the corporate values.


Principal Accountabilities:

  • Manages the reception area to ensure building security and facilitate effective communications both internally and externally to maintain professional image. 
  • Manages expense receipts in Oracle and supports senior leadership as a liaison with corporate accounting and corporate travel services.
  • Supervises and coordinates overall administrative activities or the Office Services Department. 
  • Supervises the maintenance and alteration of office areas and equipment as well as layout, arrangement and housekeeping of office facilities.
  • Develops, modifies and implements changes to the office procedures and practices to improve effectiveness and efficiency. 
  • Negotiates the services and purchase of office supplies and furniture, office equipment, etc. with specific vendors for the entire staff in accordance with company purchasing policies and budgetary restrictions.
  • Prepares agendas, correspondence, other reports, documents or statistical materials related to the functions of the department from drafts, notes or brief instructions. 
  • Oversees and manages the relationship with the cleaning services, vendors and their staff. Maintains a Material Safety Database listing on all products to ensure safety of all Talbots employees in center. 
  • Supervises the maintenance of office and building equipment, including copier, fax machine, Generator, HVAC, UPS, etc.
  • Responsible for the facilities day-to-day operations (such as recycling, changing light bulbs, heat problems, water problems, general repairs in the department, cube problems, etc.) 
  • Coordinates and leads the effort to procure incentives and recognition for the contact center operation under the direction of the Vice-President of Customer Service and the Senior Leadership Team.
  • Participates as needed in special department projects.

  • Strong interpersonal and communication skills
  • History of successful supervisory experience 
  • Oracle and MS Office competency in practical application
  • Vendor negotiations experience
  • Great organizational and project management skills
  • Event planning and coordinating

  • Track record of success in finding operational efficiencies
